REGULATIONS

OF THE POLISH CHEMISTRY CONGRESS 2020

 

  1. General provisions
    1. These Regulations specify the rules of participation in the Polish Chemistry Congress 2020 (the “Congress”), which shall take place on 16th September 2020 in an online form divided into thematic panels.
    2. The organiser of the Congress is the Polish Chamber of Chemical Industry based in Warsaw, entered into the register of associations, other social and professional organisations, foundations and independent public health care centres and the business register kept by the District Court for the Capital City of Warsaw in Warsaw, 12th Commercial Department of the Polish National Court Register under KRS no. 0000015704, Tax Identification Number (NIP) 5262170390, National Business Registry Number (REGON) 010954571, address: ul. Śniadeckich 17, 00-654 Warszawa (the “Organiser”).
    3. The Organiser reserves the possibility of making changes in the schedule of the Congress, changing the date of the Congress or cancelling the event in the case of occurrence of independent external circumstances that make it impossible to hold the Congress.
    4. The Organiser is the personal data controller within the meaning of the Regulation of the European Parliament and the Council (EU) 2016/679 of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (GDPR).   1. Rules of participation in the Congress
    1. Participation in the Congress is free of charge.
    2. The registration of a Participant of the Congress is conditional upon the acceptance of these Regulations according to pt 3 below.
    3. The Organiser registers Participants of the Congress via registration form available at www.kongrespolskachemia.pl (“Website of the Congress”). The following data must be entered in the registration form: full name, the entity represented by the participant, e-mail address. The registration of a Participant of the Congress is carried out by filling in the registration form indicated on the website. Sending the registration form is tantamount to the acceptance of these Regulations.
    4. Participants of the Congress shall receive links to the channel on which the Organiser shall broadcast the livestream of the Congress immediately upon registration.
    5. The Organiser shall register Speakers of thematic panels on the basis of an application made by entities that reported the participation of the Speaker in the Congress on the basis of a separate agreement. Speakers of thematic panels shall receive activation links according to the rules set out in pt 3.
    6. The Organiser reserves the possibility of publishing the link referred to in pt 4 on the website of the Congress or another website. For the avoidance of doubt, it is assumed that in the case referred to in the preceding sentence, the broadcast of the livestream of the Congress shall be generally available.

 

  1. Communication channels and personal data processing
    1. Materials and organisational information regarding the Congress shall be put on the website of the Congress.
    2. The Organiser specifies the following hardware and system requirements for the proper reception of the Congress: a computer or a mobile device with the CHROME browser and Internet access.
    3. All technical issues shall be reported to the Organiser by e-mail to: kontakt@kongrespolskachemia.pl.
    4. The Organiser shall process personal data of Participants of the Congress for the purpose of:

 

  1. Correct performance of service (e.g., contact in technical issues during the broadcast of the Congress), i.e., pursuant to Article 6(1)(a) of GDPR;
  2. Fulfilment of the Organiser’s legitimate interests, including the conduct of marketing activities connected with the promotion of the Congress and other events held by the Organiser with the use of means of electronic communication; statistical purposes, the prevention of fraud, the establishment, pursuit and defence of claims and the ensuring of accountability, i.e., pursuant to Article 6(1)(f) of GDPR.

 

  1. Participation in the Congress as Speaker of the thematic panel is conditional upon the consent to the use and dissemination of the image recorded in connection with the broadcast of the livestream of the Congress. The consent form shall be attached to the activation link referred to in pt II.5.

  1. Organising Committee

 

  1. All decisions regarding the Program of the Congress and organisational issues are made by the Organising Committee of the Congress.
  2. All complaints regarding the organisation and conduct of the Congress shall be submitted in writing to the Organising Committee.
  3. The make-up of the Organising Committee referred to above is specified in the Resolution of the Management Board of the Polish Chamber of Chemical Industry.

 

  1. Final Provisions

 

  1. The Organiser reserves the possibility of changing the Regulations if this does not worsen the situation of Participants of the Congress, particularly with regard to rights acquired on the basis of the Regulations. Any subsequent amendments to the Regulations shall be valid until the date of their publication on the website of the Congress.
  2. The submission of a statement of having read the Regulations in accordance with pt II.3 is tantamount to the submission of a statement of having read the information referred to in pt III.6.

 

 

 

PERSONAL DATA PROCESSING CLAUSE

PARTICIPANTS OF EVENTS

 

In connection with the provisions of the Regulation of the European Parliament and the Council (EU) 2016/679 of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Processing Regulation) (Text with EEA relevance) (“GDPR”), we hereby inform how we process personal data with regard to natural persons being participants of events the Organiser (co-organiser) of which is the Polish Chamber of Chemical Industry based in Warsaw.

 

Please read the information below.

 

Who is your personal data controller?

Your personal data controller is the Polish Association of Chemical Industry based in Warsaw, at ul. Śniadeckich 17, 00-654 Warszawa, entered into the register of associations, other social and professional organisations, foundations and public health care institutions and the business register of the Polish National Court Register kept by the District Court for the Capital City of Warsaw in Warsaw, the 12th Commercial Department of the Polish National Court Register under KRS no. 0000015704 (“PIPC”).

 

What is the aim and basis of processing of your personal data?

 

Your personal data will be processed by PIPC for the following purposes:

  1. proper fulfilment of services for you (---), [A1] in particular the ensuring of your participation in the event (in the cases described above, the basis of the processing of your personal data is Article 6(1)(b) of GDPR);
  2. fulfilment of aims resulting from legitimate interests pursued by PIPC (in cases described above, the basis of processing of your personal data is Article 6(1)(f) GDPR), i.e.:
    1. the conduct of marketing activities of PIPC;
    2. statistical purposes;
    3. prevention of fraud;
    4. establishment, pursuit or defence of claims; and
    5. ensuring of accountability (proving the fulfilment of PIPC’s obligations resulting from legal provisions).

In the case of use and dissemination of your image recorded as a part of the photo or video coverage of the event and the receipt of PIPC’s newsletter, the basis of processing is your voluntary consent (in the cases described above, the basis of the processing of your personal data is Article 6(1)(b) of GDPR).

Use and dissemination of the image (photo or video coverage of the event)

A photo or video coverage of PIPC’s event may be prepared.

By registering for and participating in the event, you agree to the use and dissemination of your image recorded as a part of such coverage for the needs of PIPC in PIPC's information and promotional materials, including PIPC’s websites and PIPC’s social media channels.

This consent may be revoked at any moment (without prejudice to the lawfulness of the use and dissemination of the image that was carried out on the basis of the consent before its withdrawal).

From whom did we collect your personal data? Is providing the data obligatory?

 

We collected your personal data directly from you.

Providing the data indicated by PIPC in the invitation and the registration form is voluntary but necessary for the registration of your participation in the event. This may refer in particular to the full name, the place of employment, the job position and contact details.

How long do we store your personal data?

 

The period for which your personal data are processed and stored depends on the legal basis on which processing is based. In each case, data shall be stored by PIPC for the period necessary for the fulfilment of the aims of processing.

Within the scope specified in separate laws and regulations, your personal data shall be processed for the period indicated in them.

Irrespective of the above, your personal data may be processed for the purpose of fulfilment of aims resulting from legitimate interests pursued by PIPC, including the prevention of fraud, the establishment, pursuit or defence of claim and the ensuring of accountability (proving the fulfilment of PIPC’s obligations resulting from legal provisions) for a period not shorter than the prescription period for potential claims.

In the case of your personal data processed for the purpose of marketing activities of PIPC, such personal data shall be processed until you file an objection.

In the case of your personal data processed on the basis of voluntary consent, such personal data shall be processed until the withdrawal of such consent.

 

Do we make your data available to third parties?

 

Your personal data may be made available to other entities to the extent necessary for the proper fulfilment of the aims of the Congress, i.e., in particular the ensuring of your participation in the event and the acquisition of reliable information on topics covered by the Congress.

Such entities may be the operator of the Konfeo system and entities serving this system (if the registration of participation in the event is carried out via this system) or electronic payment operators.

Your data may be submitted to other entities processing data upon PIPC’s order (data processors); however, such entities process data on the basis of the agreement with PIPC and the submission of these data is covered by security measures and control by PIPC and in accordance with the principle of personal data minimisation.

Your data may also be made available to authorised entities pursuant to legal provisions, particularly public authorities.

Your data may be made available to other third parties only if a separate consent to making such data available is expressed.

 

Do we submit your personal data to third states or international organisations?

 

Your personal data may be submitted by PIPC beyond the European Economic Area, to the extent that this is necessary for the proper fulfilment of aims specified above, particularly the conclusion and performance of the agreement with the supplier or business partner who participate in the organisation of the Congress.

The submission of data to third countries is possible only when the requirements set out in Article 44 et al. of GDPR are fulfilled.

 

What rights do you have with regard to personal data?

 

You have the right to access and amend the content of your data, the right to request the deletion of data or the restriction of their processing, the right to withdraw your consent at any time (without prejudice to the lawfulness of processing carried out on the basis of the consent before its withdrawal), the right to object to the processing of data and the right to transfer data in cases and to the extent specified in detail in the provisions of GDPR.

Right to objection

You have the right to file an objection to the processing of your personal data for reasons relating to your special situation when processing is carried out for the fulfilment of aims resulting from legitimate interests pursued by PIPC. In such case, PIPC shall cease to process your data for these purposes, unless PIPC proves that there are valid legitimate grounds for PIPC in relation to these data that are superior to your interests, rights and freedoms or data shall be necessary to us for the potential establishment, pursuit or defence of claims.

In addition, you are entitled to file an objection to the processing of your personal data for the needs of marketing activities of PIPC. In the case of filing an objection to such processing, PIPC shall cease to process your data for these purposes.

Right to file a complaint to the supervisory body

 

If you think that your personal data are processed by PIPC in an unlawful manner, you are entitled to file a complaint to the supervisory body, i.e., the President of the Personal Data Protection Office.

 

Do we profile your personal data or do we make decisions automatically towards you?

 

PIPC does not use profiling or automatic decision-making towards you.
